JOB SUMMARY
We are seeking a Payroll/Accounts Payable Specialist who will perform a wide variety of finance duties. This individual will have primary responsibility for day-to-day payroll responsibilities, serving as the primary liaison between Doble and our payroll provider. Responsibilities will include reviewing timecards, providing all data and payroll instructions to our third-party provider, and coordinating with Finance and Human Resources to review and audit bi-weekly payroll. This position will also have primary responsibility for managing our travel and expense policy, including managing our expense reimbursement system and working with employees to communicate and manage filings and reports. The Payroll/AP Specialist will also be responsible for exporting all reports from our payroll system and reconciling the general ledger accounts, including withholdings and accruals. This position will also assist with accounts payable and general accounting procedures as required, including, but not limited to, vouchering invoices, reviewing expenses for approvals, and assisting the team with payment processing. This role will be based in our Marlborough, MA office reporting to the Accounting Manager.
ESSENTIAL JOB FUNCTIONS
* Primary Support to all payroll inquiries from employees (Questions, Change of Address, Etc.)
* Transactional Support of Payroll (Employee Setups, Running Payroll Meeting)
* Completion of Bi-Weekly Payroll Cycle thru Payroll Review
* Payroll Manual Checks and Off Cycle Check Scheduling
* Day-to-day liaison with UKG (payroll provider) and ESCO (parent company) as it relates to payroll
* Manage the expense reporting and reimbursement process through our third party system
* Communicate and support the travel and expense policies with employees
* Reconcile corporate credit card statements and ensure appropriate accounting for all expenses
* Monthly reporting and assistance with year-end processes, including payroll and benefit audits as well as year-end financial statement audits
* Provide AP audit support as needed including vouchering invoices, reviewing payments for two-or-three way match as required, and communicating with department managers regarding invoice status.
* Provide backup for AP Specialist in charge of processing weekly ACH and check payments
* Assist with other Accounts Payable and/or General Accounting responsibilities as required
EDUCATION:
Associate's degree in Accounting or related Business Administration Major; Bachelor's degree a plus
REQUIRED EXPERIENCE:
* 2-4 years of directly related Payroll and administrative experience.
* Familiarity with payroll, tax, and accounting concepts
* Demonstrated proficiency in the use of MS Office - Excel, Word and Outlook.
* Excellent communications, organizational and interpersonal skills.
* Ability to prioritize tasks and manage sensitive and highly confidential matters.
* Strong written and verbal communication skills.
* Must have a high degree of accuracy and attention to detail.

While performing the duties of this job the employee is often required to stand, sit, use computers, read, write, type, use copy machines, file paperwork, use telephones, and utilize written and oral communication to interact with clients, co-workers, and customers. Actual base salary offered to the hired applicant will be determined based on their work location, level, qualifications, job related skills, as well as relevant education or training experience.
Hourly Pay Range Minimum $25.39 to Midpoint $31.74
