This role is right for you if you....

  • Love to learn and are INTENSELY curious. Many of the activities in IFG are about building capabilities that we or the OPCOS don't have but need to create and sustain. If you are not an intensely curious person who thrives on new learnings, this is not the role for you.

  • Have the ability to self-manage and deal with ambiguity. While you will be directly reporting to the Executive Coordinator, you will be supporting a team of Strategy & New Ventures Directors. If you need detailed directions and absolute clarity on every task and priority, this might not be the position for you. But if you like to solve problems and figure out new "best practices", this might be right for you.
  • Find value and validation in supporting others. You will be providing critical support to the entire IFG team, taking on tasks that allow the Directors and President to maximize their productivity in support of the growth of the company.
  • Like to have fun. REALLY like to have fun at work and find much of the fun is from accomplishing really unusual, tough things.

What You Will Do:

The IFG Administrative Assistant will provide a range of support services to individual members of the Strategy & New Ventures team, as well as to the IFG Executive Coordinator.

Reporting to the Executive Coordinator, primary responsibilities include, but are not limited to:

  • Scheduling and calendar management for SNV Directors.
  • Manage all logistics for meetings for SNV Directors and for larger IFG Team meetings.
  • Arrange for special mailings to VIPs, guests, and others.
  • Order samples and coordinate tasting sessions.
  • Manage expense reports for SNV Directors as requested.
  • Assist with special event planning (receptions, conferences, business meetings).
  • Assist with meeting preparation including food, catering, special needs, etc.
  • Complete or assist projects as assigned.

Experience and Capabilities

  • Superior Emotional Intelligence
  • Proven ability to think through situations and problems resulting in solutions.
  • Personal Values aligned with IFG Core Values.
  • 2+ years' experience in roles with similar responsibilities above with demonstrated levels of responsibility.
  • Bachelor's Degree from an accredited 4-year college or equivalent relevant experience.
  • 2 years' experience managing complex projects and schedules in a highly dynamic and fluid environment with multiple stakeholders.
  • Proficient ability in MS Office Suite (Outlook, Word, Excel) and collaboration platforms (Zoom, Teams).
  • Expert collaboration and communication skills with the ability to form deep and trusted relationships, across different companies and functions.

Must be able to work in office setting minimum of 4 days a week, and ability to work efficiently and productively from remote locations.
